Form W-4 2026: How to Fill It Out, Step by Step, With a Withholding Calculator
Form W-4 tells your employer how much federal income tax to withhold from each paycheck. On the 2026 form you complete Step 1 (filing status) and Step 5 (signature); Steps 2-4 only when they apply: Step 2 for two jobs or a working spouse, Step 3 for $2,200 per child under 17 and $500 per other dependent, Step 4 for other income, extra deductions and extra withholding (IRS Form W-4 (2026)). The calculator below withholds the way your employer does and compares it with the 2026 tax you will owe.
How to fill out the 2026 W-4, step by step
- Step 1 — Personal information. Name, address, SSN, and the box for the filing status you expect: single or married filing separately; married filing jointly (or qualifying surviving spouse); head of household.
- Step 2 — Multiple jobs or spouse works. Do one: (a) the IRS Tax Withholding Estimator (use it if anyone has self-employment income); (b) the Multiple Jobs Worksheet on page 3, result in Step 4(c); or (c) with exactly two jobs, check the box on both W-4s. Complete Steps 3-4(b) on one W-4 only, the highest-paying job’s.
- Step 3 — Dependents and other credits. If your income will be $200,000 or less ($400,000 joint): $2,200 times children under 17, plus $500 times other dependents, plus any other credits you expect (Form W-4 (2026)).
- Step 4 — Other adjustments. (a) Income not from jobs (interest, dividends, retirement income) to have tax withheld on it; (b) deductions beyond the standard deduction from the Deductions Worksheet, which for 2026 includes the new deductions for qualified tips, overtime, car-loan interest and the $6,000 senior deduction; (c) any extra tax to withhold each pay period.
- Step 5 — Sign and date.
Exempt from withholding? Only if you owed no federal income tax for 2025 and expect to owe none for 2026; the exemption lasts for 2026 only (new W-4 by February 16, 2027). Retirees setting withholding on a pension or IRA use Forms W-4P and W-4R instead: see the retiree withholding calculator.
W-4 withholding calculator: over or under for 2026?
Withholding: Publication 15-T (2026) Worksheet 1A for a full year at the W-4 above. Tax: the 2026 federal return on these wages and other income with the standard deduction, the child tax credit and the earned income credit (Step 4(b) deductions are not modelled). Both spouses are taken as under 65.
Worked examples (2026)
| Household and W-4 | Withheld | Tax to cover |
|---|---|---|
| Single, $60,000, blank W-4 | $5,020 | $5,023 |
| Married, two jobs $80,000 + $50,000, Step 2 not used | $7,020 | $11,243 |
| Same couple, Step 2(c) box checked on both W-4s | $12,590 | $11,243 |
One job and a blank W-4 lands close to the tax. Two jobs without Step 2 under-withhold, because each employer applies the full standard deduction and the low brackets to its own paycheck; the checkbox halves them for each job and here over-withholds instead, since the pay is not equal.
An estimate from QuantCalc’s open tax engine (federal 2.6.0, state 1.26.0) for the 2026 tax year. Not tax advice: your return depends on facts this page does not ask about, so check a move with your tax preparer or custodian before acting. - How do I fill out a 2026 W-4?
- Step 1: name, address and the filing status you expect. Step 2: only if you have two jobs at once or a working spouse — check the box when there are exactly two jobs with similar pay, or use the Multiple Jobs Worksheet. Step 3: $2,200 for each child under 17 and $500 for each other dependent, if your income is $200,000 or less ($400,000 joint). Step 4: other income, deductions beyond the standard deduction, and any extra amount per paycheck. Step 5: sign (Form W-4 (2026)).
- What is withholding tax?
- Federal income tax your employer takes out of each paycheck and pays to the IRS for you, sized from your W-4 by the IRS percentage-method tables (Publication 15-T). It is a prepayment, not the tax itself: when you file, the year’s tax is compared with what was withheld, and you get the difference back as a refund or pay it.
- Should I check the box in Step 2?
- Check it on both W-4s when there are only two jobs in the household and their pay is similar. For a married couple earning $80,000 and $50,000 with blank W-4s, the employers withhold $7,020 for the year against $11,243 of federal tax; with the box checked on both, $12,590. When one job pays much more, the Multiple Jobs Worksheet or the IRS estimator is closer.
- Can I claim exempt from withholding in 2026?
- Only if you had no federal income tax liability in 2025 and expect none in 2026. An exempt W-4 expires: you must give your employer a new one by February 16, 2027 (Form W-4 (2026), page 2).
- Do I need a new W-4 every year?
- No. A W-4 stays in effect until you replace it (an exempt one excepted). File a new one when your filing status, jobs, children or other income change, or when a refund or balance due tells you the withholding is off (IRS: About Form W-4).
